Required Fields for UK Invoices

Under UK law and HMRC guidelines, your invoices must include certain information to be valid. Our template ensures you don't miss any of these essential fields:

  • Unique invoice number – A sequential number that identifies each invoice
  • Your business name and address – This must match your registered details if you're a limited company
  • Your client's name and address – The person or company you're billing
  • Invoice date – The date you're issuing the invoice
  • Description of goods or services – Clear explanation of what you're charging for
  • Amount charged – The total amount owed, broken down by line item
  • VAT amount – If you're VAT-registered, this must be shown separately
  • VAT registration number – Required if you're VAT-registered

For VAT invoices over Β£250, you'll also need to include the VAT rate charged on each item. Our template handles this automatically.

VAT vs Non-VAT Versions

The template includes both VAT and non-VAT layouts. Here's when to use each:

Non-VAT Invoice

Use the non-VAT version if:

  • You earn under the VAT registration threshold (currently Β£90,000 per year)
  • You're not voluntarily VAT-registered
  • You're providing VAT-exempt services

The non-VAT version removes the VAT number field and simplifies the totals section.

VAT Invoice

Use the VAT version if:

  • You're VAT-registered (mandatory or voluntary)
  • You need to charge VAT on your services
  • Your client needs a VAT invoice for their own records

The VAT version includes fields for your VAT number, VAT rate per line item, and clearly separated VAT amounts.

Make this template your own with these simple customisations:

Adding Your Logo

In the HTML template, click on the placeholder logo area and update it with your business name or drag in your logo image. We recommend keeping logos under 200px wide for the best appearance.

Updating Colours

To match your brand colours, select the header row in the line items table and change the fill colour. You can also update the accent colours used in the totals section.

Setting Your Payment Terms

The template defaults to "Net 30" (payment due within 30 days). Common alternatives include:

  • Due on receipt – Payment expected immediately
  • Net 14 – Payment due within 14 days
  • Net 45 or Net 60 – Longer terms for established clients

Adding Your Bank Details

Replace the placeholder payment information with your actual bank details. Include your account name, sort code, and account number. For international clients, add your IBAN and SWIFT/BIC codes.
